Importing General Item Data

  1. Prepare Data for importingTo import Item level data or update item level data, open the spreadsheet file with the data you wish to upload. Make sure that the first column holds the Item numbers, This lets the Catsy database know where to store the corresponding data.

    Next, Delete all columns with data you do not wish to import into the database (if any) and then delete all empty rows and columns. For all numeric  fields, select the whole column then, in the "General" dropdown, select "text" this ensures that all the data imports properly. 
  2. Deleteing Duplicates
    Select all the data and under the "Data" toolbar, select "Sort" and sort by Item number values in "A to Z" order, select "Sort anything that looks like a number as a number"
    Next click the "Remove duplicates" button and only select the Item number column.  
     
    Next click on the "Advanced" icon then, select the "Unique records only" check box
      
  3. Saving the file for import
    First, the file you want to import into Catsy needs to be saved in "Tab Dellimited text" file format. This can be done by clicking "save as" and selecting "Tab Dellimited text (.txt)" in the file format drop down in most spreadsheet applications such as Excel
  4. Importing the data using the Catsy Portal
    Once the data is prepared we can upload it into the Catsy database. To do this, Log into the Catsy Portal and on the toolbar select the "Tools" drop down and select "Import Content"


    Next open the .txt file and delete all of the empty spaces at the bottom.

  5. Selecting what type of Import
    Select where you want to import the data either in the master repository or a certain catalog. Note that the master repository is where all items and item groups are located. Catalogs are a collection of items and item groups from the master repository. 
    Next, Select the type of data you are importing from the "What do you want to import?" drop down. If needed, you can change the import loader question languages from the language drop down. 
    Next, Click "Choose file" and select the file you prepared earlier then click continue.


  6. Checking the data
    Next, Make sure the Headers from the file you prepared match up with the field names in the Catsy database.If they do, Click continue. If they do not, click the drop down menu for the corresponding column and select the field you want to import the data as. Click continue when finished.

    Here you can see what is going to be updated and what is going to be deleted or created.
  7. Review Import
    Read through the import report and make sure all the items you want to import are correct and error free. Note that you can download the full import report as well as only the error reports using the links to the left. When you are ready click import.


    Congratulations! Your file has now been properly imported into the Catsy database.Â
